Privacy Policy
1. Who We Are
Conversantix ("we", "us", "our") is a customer experience consulting firm and is the data controller for personal data collected through conversantix.com. Our contact email is support@conversantix.com.
This policy explains how we handle that data. Where you are located in the United Kingdom or the European Economic Area, we process personal data in accordance with the UK GDPR and the EU General Data Protection Regulation.
2. What Data We Collect
We collect the following types of data:
- Enquiry data: Any details you choose to include when you email us — typically your name, company, and a description of your CX challenge.
- Email communications: When you email us at support@conversantix.com, we retain that correspondence.
- Analytics data: If you accept analytics cookies, we collect page views, browser and device type, approximate location derived from your IP address, referring pages and session duration using Google Analytics 4. We do not ask analytics to identify you by name, but an IP address is treated as personal data under the UK and EU GDPR, so we describe it as such here rather than calling it anonymous.
- Cookie data: See Section 3 below.
3. Cookies
We use the following categories of cookies:
- Strictly necessary cookies: Required for the website to function. Cannot be disabled. These include your cookie consent preference.
- Analytics cookies: Help us understand how visitors use the site (e.g. which pages are most viewed). These are anonymised and only set if you accept cookies.
- Functional cookies: Remember your preferences to improve your experience.
You can manage your cookie preferences using the banner displayed on your first visit, or by clearing your browser cookies at any time.
4. How We Use Your Data
- To respond to your enquiry
- To send relevant information about our services (only when you've requested it)
- To improve our website based on aggregated analytics
- We do not sell, rent, or trade your personal data with third parties
5. Legal Bases for Processing
Where the UK or EU GDPR applies, we rely on the following legal bases:
- Consent — for analytics cookies and any marketing communications. You give this by choosing "Accept" on the cookie banner, and you may withdraw it at any time by choosing "Reject" or clearing your browser cookies.
- Legitimate interests — for responding to enquiries you send us and for keeping our website secure and functioning. We consider this proportionate because you initiate the contact and we use the information only to reply.
- Legal obligation — where we are required to retain records, for example for tax or accounting purposes.
6. Enquiry Data
Information you send us by email is stored securely and used solely to respond to your enquiry. We do not share it with third parties unless required to deliver the service you've requested. This website does not collect personal data through any form — email is the only route by which you send us information.
7. Email Usage
Emails you send to support@conversantix.com are retained for the purpose of correspondence only. We do not add you to marketing lists without explicit consent.
8. Data Retention
Enquiry correspondence is retained for up to 2 years. Analytics data is retained in aggregated, anonymised form. You may request deletion of your personal data at any time by emailing support@conversantix.com.
9. International Data Transfers
We use Google Analytics 4, operated by Google LLC. If you accept analytics cookies, data associated with your visit may be transferred to and processed on servers in the United States and other countries outside the UK and EEA.
Google relies on the EU–US and UK–US Data Privacy Framework, together with the European Commission's Standard Contractual Clauses, as the safeguard for these transfers. If you decline analytics cookies, no analytics data about your visit is transferred.
Our website is hosted by Netlify and our email is hosted by third-party providers, both of which may process data outside the UK and EEA under equivalent safeguards.
10. Your Rights
Subject to the conditions in applicable data protection law, you have the right to:
- be informed about how we use your data — which is the purpose of this policy;
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict how we process your data;
- receive your data in a portable format, or ask us to transfer it;
- object to processing carried out on the basis of legitimate interests;
- withdraw consent at any time, without affecting processing carried out before you withdrew it.
To exercise any of these rights, email support@conversantix.com. We will respond within one month. There is no charge unless a request is manifestly unfounded or excessive.
11. Complaints
If you are unhappy with how we have handled your personal data, please contact us first at support@conversantix.com so we can try to put it right.
You also have the right to complain to a data protection supervisory authority. In the United Kingdom this is the Information Commissioner's Office (ico.org.uk). If you are in the EEA, you may complain to the supervisory authority in your country of residence or workplace.
